How to Move Your Website to a New Host Without Downtime: A Step-by-Step Checklist
Moving a website to a new host sounds risky, but it does not have to mean downtime. The trick is to build and test the new copy first, and only then switch the domain over. Visitors keep seeing the old site until the new one is ready.
This checklist works for most WordPress and PHP sites moving between cPanel hosts.
Before You Start
- Take a full backup. Download your files and database to your own computer, not just the host's backup.
- List what lives on the old host. Websites, databases, email accounts, cron jobs, redirects, SSL certificates and any subdomains.
- Lower your DNS TTL. A day before the move, set the TTL on your domain's A records to 300 seconds (five minutes) if your DNS provider allows it. This makes the final switch fast.
- Choose a quiet time. For shops or booking sites, pick the hours with the fewest orders.
- Check the new plan. Make sure it has enough disk space, PHP version and database access for your site.
Step 1: Copy the Files
Copy your website files to the new account's web folder (usually public_html). You can:
- Use the migration or transfer tool your new host offers (many offer free migration).
- Upload a zip file through the cPanel File Manager and extract it.
- Use FTP or SFTP for smaller sites.
Keep the same folder structure so paths in your code keep working.
Step 2: Copy the Database
- In the old cPanel, open phpMyAdmin and export the database.
- In the new cPanel, create a database and a database user, and give the user access to the database.
- Import the file into the new database using phpMyAdmin.
- Update the database name, user and password in your site's configuration file (for WordPress,
wp-config.php).
Database names and users often carry a cPanel prefix, so they will differ from the old host.
Step 3: Test Before You Switch
You can view the new copy before changing DNS by pointing your own computer at the new server.
- Find the new server's IP address in cPanel.
- Add a line to your computer's
hostsfile: the new IP followed by your domain name. - Open the site in a private window and click through the main pages, forms, login and checkout.
Remember to remove that line from the hosts file when you finish. Check:
- Pages and images load with no errors
- Forms send email
- Logins work
- Links and redirects work
- Any scheduled jobs are set up on the new host
Step 4: Move Email Carefully
Email is the part people forget.
- Recreate each mailbox on the new host.
- Copy existing mail across using IMAP sync or your mail client.
- Keep the old mail host running until DNS has fully changed.
- Update MX, SPF and DKIM records to match the new host.
Step 5: Switch DNS
When testing is complete:
- Change the A record (and any other records pointing to the old server) to the new IP address. If you use the new host's nameservers, switch the nameservers instead.
- Leave the old site running unchanged. During the next few hours, some visitors will still reach the old host and some the new one, so both should show the same content.
- Avoid editing the site on either server during this window, otherwise changes can be lost.
If your host is behind a CDN such as Cloudflare, you may only need to change the origin IP.
Step 6: Check After the Switch
- Visit the site from a phone on mobile data to see the new server.
- Confirm SSL is active and the padlock shows. On cPanel, AutoSSL can issue a free certificate once DNS points to the new host.
- Test forms, orders and logins again.
- Check Google Search Console for crawl errors.
- Watch your email for a day or two.
Step 7: Clean Up
After about a week without problems:
- Raise your DNS TTL back to its normal value.
- Cancel the old hosting only after you have a final backup.
- Keep your own backup copy for at least a month.
Common Mistakes
- Cancelling the old hosting too early
- Forgetting email or cron jobs
- Changing the site on both servers during the switch
- Not testing forms and checkout
- Leaving the hosts file pointing to the new server
